FAQ

Straight answers, before you ask.

Everything principals and estate managers ask us about the AI, security, staff access, pricing, and getting started — answered the way we’d want to be answered.

Product & Platform

What can Hauseora's AI actually do?
The AI Chat — we call it The Brain — performs real operations across the platform: it creates and completes tasks, logs expenses, adds vendors, staff, documents, assets, and access records, schedules maintenance, and answers questions about your household from your own data. It accepts photos: a receipt becomes a recorded expense, a business card becomes a vendor record. Everything happens in plain language.
What are the AI's limits?
It operates only on your household's records — role permissions shape what each person gets, and staff are not shown financial data. It doesn't browse the web or move money, and it reaches out to a vendor only when you explicitly ask it to (for example, sending a portal invite). Every change it makes is recorded in the household activity log, so you always see what it did.
Is there a mobile app?
Hauseora is a progressive web app — it installs from the browser to a phone's home screen and runs full screen like a native app, with nothing to download from an app store. Staff use it from the phones they already carry.
Does Hauseora sync with Google or Outlook calendars?
Google Calendar sync is live today — household events flow in both directions. Outlook support is built and in final rollout.
Can Hauseora track more than the houses themselves?
Yes. Beyond residences, Hauseora tracks assets — vehicles, vessels, equipment, appliances — with serial numbers, warranty and last-service tracking; organizes properties into zones; and holds the manuals and documents attached to all of it.
What reports do principals get?
Owner-ready reporting: task completion, maintenance compliance per property, vendor spending, staff productivity, and an executive summary — exportable as PDF or CSV. Reports build themselves from the household's real activity; nobody compiles anything by hand.

Security & Privacy

Is my household data used to train AI models?
No. The AI Chat runs on OpenAI models, with Anthropic models behind smaller assistant features. Both are reached through standard commercial APIs whose terms exclude customer data from model training. Your household's information is never used to train public AI models, and it is never sold.
How are gate codes, alarm codes, and safe combinations protected?
Access items — gate codes, alarm codes, safe combinations, WiFi credentials — are encrypted at rest with AES-256 before they touch the database. They are revealed deliberately (click-to-reveal), never displayed on screen by default, and only household admins can add or change them.
Who can see what inside a household?
Access is role-scoped. Owners and admins see the full household. Staff see only the properties and tasks assigned to them — enforced at the database layer, not just hidden in the interface. Viewers get read-only access. Vendors see only their own portal.
Is my data sold or shared?
Never. Your data is not sold, not shared with third parties, and not used for advertising. The business model is the subscription — you are the customer, not the product.
Is there an audit trail?
Yes. Every significant action — who created, changed, completed, or deleted what, and when — is recorded in an activity log that cannot be edited or deleted. Disputes get settled by the record, not by memory.
What happens to my data if I cancel?
Your data leaves with you. You can download a JSON export of your records from Settings at any time, CSV exports for core records are built into the product, and on cancellation we produce a full export of your household records on request. The 14-day satisfaction guarantee also means you can evaluate without financial risk.

Staff, Vendors & Access

Will non-technical staff actually use it?
That constraint is what we designed around. Staff don't navigate menus — they tell the AI what happened ("AC filter changed at the main house") or photograph a receipt, in the words they would use anyway. If someone can send a text message, they can keep Hauseora current.
How many staff or family members can I add?
Unlimited users are included — principals, family members, estate managers, housekeepers, caretakers. There is no per-seat charge, because the platform works best when the whole team is on it.
Do vendors get access?
Vendors get their own portal — a separate sign-in protected by two-factor authentication, which every vendor sets up on first sign-in. There they see shared documents and the work that concerns them. They never see your household’s internal records.
Can one estate manager run several client households?
Yes. Each client household is a separate, isolated workspace with its own roles and records. Fractional estate managers run multiple clients from one login without any data crossing between households — and flat pricing means there is no penalty for doing so.
What happens when a staff member leaves the household?
A departure is an access event, not a knowledge event: remove their account immediately, rotate the codes they held, and reassign their tasks visibly. Everything they logged — history, vendor records, completions — stays with the household.

Pricing & Billing

What does Hauseora cost, all-in?
$500 per month, billed annually at $6,000 per year. That includes unlimited properties, unlimited users, every feature, personal onboarding, and priority support. No tiers, no add-ons, no per-property charges.
Are there initiation or setup fees?
None. Competing platforms in this category commonly charge $3,000–$5,000 in initiation fees before the first month of service. Our position is that the risk of evaluating software should sit with the vendor, not the buyer.
Is billing monthly or annual?
Annual, through secure Stripe checkout. One flat subscription — $6,000 per year — with no usage meters, no seat math, and no surprise line items.
How does the 14-day guarantee work?
If Hauseora isn't right for your household, tell us within 14 days of purchase and you receive a full refund — no questions, no forms, no retention calls.
What does priority support actually include?
Same-day response by email, plus phone and text access — you reach people, not a ticket queue. Every household also gets quarterly check-in calls to tune the setup as your operation evolves.

Getting Started

How does onboarding work?
Every subscription includes a personal onboarding call, and we do the setup with you: properties, staff roles, vendors, and your existing records go in during onboarding — not as homework afterward. White-glove is the default, not an upsell.
How long until my household is fully operational?
The first property is typically live the same day. Most households are fully operational — staff invited, vendors loaded, maintenance schedules running — within the first week.
Can you migrate our data from spreadsheets, binders, or another platform?
Yes. Bring spreadsheets, the household binder, exports from another platform, or photos of paper records — structured data is bulk-imported and the AI turns documents and receipts into records. Migration happens during onboarding at no extra charge.
Can I see it before buying?
Yes — schedule a demo and we run it against your actual portfolio: your properties, a week of your real tasks, your receipt pile. Twenty minutes tells you more than any feature list.

How does Hauseora compare to Nines?
Nines is a credible, service-led platform at $2,500+/month (published tier) with a managed-service relationship built in. Hauseora is software-led and AI-first at $500/month flat with no initiation fees. We published an honest comparison — including where Nines is the right choice.
